Where Is All Your Money Going Every Month?

|Nick Mirabella

If you run a suite or booth rental salon, you probably love the freedom it gives you. And honestly, I get it. But here's the thing - freedom without control will kill your profits every single time.

In my 30 years running salons and coaching salon owners, I've seen this play out hundreds of times. Stylists jump from commission splits to independent rentals hoping for more income, only to find themselves buried in product costs, unpaid admin work, and expenses that quietly drain their bank accounts.

If you're fully booked but still sweating when rent is due each month, your operations need fixing. This isn't about working harder. It's about working smarter and putting systems in place that protect your money and build real profit.

Let me break down the three operational systems every independent stylist or suite owner must have. These are the same principles I teach in my Level Up Academy and have applied across multiple salon locations.

1. Track Your Product Usage Like a CEO

One of the biggest profit killers I see with independent stylists? Product waste. Too many treat product like it's an unlimited expense. I've coached salon owners losing hundreds of dollars every month simply because they never tracked what they actually used.

Here's the truth: product is profit sitting on your shelf. If you don't control it, you're literally throwing money away.

I had one coaching client in Florida who was losing over $400 a month on product waste alone. That adds up to nearly $5,000 a year - enough to cover rent or invest in marketing that actually grows the business.

What you need is a simple inventory control system. Weigh your product bottles or track usage by grams. I know this sounds tedious, but this is exactly where the E-Myth principle applies: work ON your business, not IN it.

Systems over people is the key. Set up a routine to check what product leaves your salon compared to what you sell. This will be your first defense against pouring profit down the drain.

2. Know Your Numbers Every Week

You can't manage what you don't measure. This is where the EOS framework's focus on weekly accountability really pays off.

Set up a simple dashboard with your key performance indicators like average ticket, rebooking rate, and product cost percentage. Review these numbers every week, not just monthly. And if you need help calculating your baseline, use a tool that tracks your weekly profit and loss so you can see exactly where your money's going.

When I was building my first location, I made it a habit to review sales and expenses every Monday morning. It helped me catch small leaks before they became big holes. This weekly rhythm is the secret to staying in control of your money.

3. Delegate Admin and Bookkeeping Tasks

One of the biggest drains on independent stylists' time and money? Unpaid admin work. I've coached many who spend hours every week trying to do bookkeeping, scheduling, and ordering on their own.

This is a trap. You're trading your highest-dollar time for low-dollar tasks.

The Buy Back Your Time framework teaches us to delegate or outsource tasks below your replacement ladder. If you're a stylist charging $100 an hour, spending time on admin that could be done by someone else at $15 an hour is costing you $85 every hour you waste.

Hire a bookkeeper or use a virtual assistant to handle your ordering, invoicing, and scheduling. It will free up your time to focus on what you do best: serving clients and growing your salon.

Stop Guessing and Start Controlling Your Money

If you're wondering where all your money goes every month, these three systems will give you control. Track your product usage like a CEO. Know your numbers every week. Delegate admin tasks so you can focus on growing your business.

Every salon owner I've coached through this process has seen a real difference - more profit, less stress, and a business that runs without constant firefighting.

And here's what I like to do: I want to make sure you have the tools you need to implement these systems. You can start by calculating your daily salon profit to see where you stand right now. No guessing, just real numbers.
